Retreat and Event Policies

  • 1. Make a reservation request online. 

    2. Receive confirmation that your request can be accommodated and that your date(s) are available. You will also receive a quote for the cost based on your group needs. 

    3. Group/Event Coordinator signs OLHSC contract and submits non-refundable deposit. No verbal commitments will be made. Please read and review the agreement prior to booking your reservation

    4. OLHSC will send copy of signed contract and dates are secured. 

    ​OLHSC reserves the right to refuse requests, alter and cancel reservations. We do not accepting reservations for wedding receptions or private parties.

    • Groups/Events must designate a coordinator to communicate with the OLHSC Retreat office and staff.

    • OLHSC will only accept changes from the designated group coordinator who signed the agreement.

    • The group coordinator is responsible for communicating OLHSC policies to their participants and will communicate all group requests with OLHSC staff.

    • Two weeks prior to retreat arrival, the group coordinator assigns group members to their OLHSC rooms, finalizes meeting room set-up and AV equipment needs.

    • The group coordinator provides a completed roster for each person in attendance, communicates and works with OLHSC retreat staff during the retreat/program.

  • Overnight HS Retreats

    • All students staying overnight must be enrolled in high school and covered under their high school’s insurance policy.

    • Students may not wander the building after hours and should only be in their designated areas.

    • Students must respect after hour times with quiet and respect for other retreatants.

  • For personal retreats (not part of a group retreat) staying overnight, we must have phone, email, mailing address, and copy of driver's license on file. Full payment is required upon check-in. 

    • For individuals: check-in between 10am and 2pm Monday through Friday at the Holy Spirit Gift Shop.

    • For groups/events: arrival times are scheduled with our Retreat Manager.

    • Check-out is at 10am for all overnight accommodations.

    • Groups/individuals who do not follow cleaning directions may be assessed a cleaning fee.

    • Individual retreatants pay in full prior to or at their arrival for their retreat.

    • Group retreats and events will be invoiced and will reflect final group numbers and building usage.

    • Payments may be made with check or with credit card (fees apply).

  • Groups and events must present a Certificate of Liability that covers the group for $1,000,000 per occurrence and $2,000,000 aggregate. Click here for a sample.

    • OLHSC does not provide meals or catering services. We can make recommendations, if needed.

    • Please note that OLHSC does not have a permit to sell alcohol. Therefore, events selling alcohol must contract with a caterer who has a valid liquor license and a copy of that license must be sent to OLHSC 30 days prior to the event.

    • Groups are allowed to prepare their own meals in their assigned dining/kitchen area. However, individuals should not keep or store food in their overnight rooms.

    • We can accommodate married couples overnight. However, we do not have “family” accommodations for additional family members or young children.

    • Due to the historic nature of our property, we cannot accommodate pets.

    • Check-in or check-out times outside of our stated policy must be approved by the retreat office. We will do our best to accommodate special requests outside of our check-in and check-out policy, however we cannot guarantee times outside the policy.

    • We cannot commit to reserving an entire floor for a group unless those rooms are reserved by the group (i.e. group is using only ½ the floor and wants the entire floor to themselves). We work diligently to ensure the safety and comfort of each group/individual is met.

    • The Center is open to the public Monday-Friday 8 a.m. - 7 p.m., and Saturday 8 a.m. - 2 p.m. We are closed to the public on Sundays, except for weekend retreats and scheduled Eucharistic guardians. The building automatically locks at at closing time and reopens at 8 a.m. the next business day. 

    • No retreatant, whether group or individual, shall allow anyone in the building after hours. This includes holding doors open or opening doors for people who are seeking entry. Only scheduled Eucharistic guardians are permitted in the Adoration chapel only, and they have been granted access via code or key fob.

    • Eucharistic adoration is available to all overnight retreatants 24 hours a day, 7 days a week. The area outside of the Sorrowful Mother Chapel is designated as a “sacred silence” zone. Please do not carry conversations outside of this area.

    • We are a smoke-free facility. This includes, but not limited to, cigarettes, cigars, vapes, candles, and incense. 

    • We are closed on Sundays. If a retreat is scheduled for an overnight stay on Saturday, all guests must check out by 10 am (removing all belongings from rooms). If you choose to celebrate Mass as a retreat group, we encourage you to plan on celebrating Mass next door at Holy Trinity for your convenience.
